The questions managing directors and IT leads ask us most often. If your topic is missing: write to us, and we will add it.
bee-hub.ai is a sovereign German platform for AI employees: AI agents that fully take over recurring business processes such as invoice checking, order intake or quote preparation. The platform runs in your infrastructure, your private cloud or with a German hosting provider, operates under EU law, by default with no processing in third countries, and only writes to your systems after a person has approved.
Developed and operated by Hermann Consult & Co. GmbH in Hagen, Germany.
Software that behaves like a colleague. The key difference from an AI tool: a digital employee does not sit inside a single program. It sits between your systems and operates them the way a person would. It reads the inbox, works in ERP, DMS and Outlook, enters data, checks it and passes it on, across system boundaries.
All of this with a clearly defined scope of work, escalation paths, and a human supervisor in your team. Unlike a tool, it does not just make one click faster; it takes over an entire job step, from intake to result.
Yes, almost always, and usually sooner than you would think. You do not need tidy IT or a finished data strategy up front. The most common misconception is that you first have to spend years creating order before AI can help.
We look at one concrete process with you and start wherever time is being lost today. Whether you are ready is something we can tell you in a short conversation.
No, that is exactly the point. Unstructured data is not an obstacle for a digital employee; it is its strength: emails, PDFs, scans, Excel sheets that have grown over the years. The AI reads, understands and sorts what a person would otherwise have to organize by hand.
We work out the underlying structure together with your team in short interviews, and translate it into how the digital employee operates.
For mid-sized companies where recurring back-office work eats up time, from machinery and trade to logistics, law firms and medical practices. Eleven industries at a glance.
The rule of thumb: if a process is operated digitally, it can usually be taken over, including your custom process.
bee-hub.ai takes over routine work, not people. Your team gains time for what requires judgment and relationships: customers, edge cases, strategy.
In fact, your employees become supervisors of one or more digital employees. They set the direction, review and approve, while subject-matter expertise and the final decision stay with the person. We deliberately do not build our case on headcount reduction: using bee-hub.ai makes your team's job easier, not redundant.
An honest comparison with what you may already be using.
AI chats raise the productivity of individual employees, whereas AI employees step into processes and raise the productivity of the whole company.
A chat assistant helps with writing, summarizing and research; the person asking gets there faster. The process behind it stays as it is: a person still copies, checks, enters and sends.
An AI employee from bee-hub.ai completes the process itself: it reads the inbox, checks against your rules, enters data into your systems and submits the result for approval. It is the difference between a tool and a workforce, and the two do not exclude each other.
Built-in AI features are useful, but they end at the boundary of their own system. Real work in your company runs across several systems: email intake, ERP, document management, outbound.
That is exactly the stretch a digital employee covers. It complements your existing systems instead of replacing them, and you keep the choice of hosting and AI model instead of being tied to a single vendor's AI strategy.
Five points that make the difference:
bee-hub.ai separates deciding from calculating. The language model understands your request, picks the next step and reviews results, but it does not do the math itself. Amounts, deadlines and quantities come from fixed calculation paths, stored rules and directly from your systems.
The result: verifiable output instead of guessed answers. How it works: the conductor, not the calculator.
No. Chatbots, personal agents and automation toolkits are tools that each person or your own IT sets up, starts and is responsible for. An AI employee from bee-hub.ai takes over a defined workflow in your business, works in the background in your ERP and inbox and presents results for approval. bee-hub.ai is responsible for setup, operation and maintenance.

Wherever you decide: in your own data center, your private cloud, or with a German hosting provider in ISO 27001 certified data centers. The standard is processing in Germany and the EU with European language models. If you want a US model such as Claude or GPT, we set it up with EU data residency where the provider offers it and tell you openly what applies. A data processing agreement (DPA) per Art. 28 GDPR is always included.
The complete data flow is shown on Security & Data Sovereignty.
Our standard is European language models, processed in Germany and the EU. We only use US models such as Claude or GPT at your request, with EU data residency where the provider offers it (for example OpenAI). These providers remain US companies and are therefore subject to the US CLOUD Act; you make that trade-off consciously. Our comparisons with ChatGPT and Claude explain the details.
No. We do not train any AI model on your data. Model providers get no access to train on it; this is ruled out by contract. Your content stays yours.
It is the AI employee that gets trained, not the AI: we train its rule set, meaning the rules, checks, examples and knowledge base that frame how it handles your processes. The language model underneath stays unchanged.
If a case is unclear, the agent does not decide: it passes it on to the responsible person in your team. Critical actions always wait for human approval.
Every step is traceable in the log: input, decision, output. For audits and your own confidence.
It starts with a demo on your real case. Feel free to bring your own sample files. Then comes a clearly defined onboarding plan: analysis, pilot with approvals by your team, then production.
Costs depend on the task and scope, with no per-seat licenses. What routine work costs you today is shown by the ROI calculator; we discuss the concrete range in a conversation.
No. bee-hub.ai works in the systems you already have: ERP, DMS, Outlook, DATEV and more. No replacement of your systems, no isolated solution.
Yes. The exit is governed by contract: your data and configuration are handed back in an orderly manner. And since bee-hub.ai is model-agnostic, there is no lock-in on the AI model either.
Yes, as long as the AI does not decide on its own which SAP interfaces to call. Since April 2026, section 2.2.2 of SAP's API Policy prohibits (semi-)autonomous or generative AI systems from planning, selecting or executing sequences of API calls. The AI employees of bee-hub.ai work differently: data exchange with SAP runs through fixed, programmed workflows. The AI works on the data these workflows deliver and never decides on an SAP call itself. It places documents in SAP as parked documents, and your team posts them. SAP's FAQ on the policy explicitly excludes fixed call sequences without AI decision-making (question 40). This applies to SAP S/4HANA and SAP Business One alike.
